Job Summary

AECOM has an opportunity available for an outgoing and organized individual interested in serving as the Administrative Assistant for an exciting program within our Transportation Demand Management (TDM) group in our Wilmington, DE office. This unique opportunity is well suited for an individual with a passion for delivering strong customer service while coordinating a variety of administrative responsibilities for the project delivery team and client.

In this position, you will be a member of the Rideshare Delaware team promoting commute options to employers and commuters statewide. The Rideshare Delaware program aims to reduce traffic congestion and improve air quality by encouraging commuters to use green, active transportation modes such as carpooling, public transportation, teleworking, and bicycling.

As the Administrative Assistant, you will provide support for the project team in key administrative and operational areas including: customer service, data entry, reporting, and general office/project operations with daily interaction with the client and outreach team members. This is a part-time position anticipated with approximately 28-32 hours per week.

The responsibilities of this position include, but are not limited to:

  • Administrative support to Outreach Team to ensure they have the necessary material and items to meet with employers and the public

  • Customer service through phone, email, online services, and one-to-one interaction

  • Administration of database to include participant enrollment through data entry, on-going customer service to participants, communications, status reports, and coordination with partners and client

  • Produce database reports to support project management and outreach team

  • Develop and maintain standard operating procedures for administration of key project tasks

  • Project mailings and distribution of promotional materials

  • Maintain necessary project supply inventories

  • General administrative and project support processes such as purchasing and scheduling

  • Attend outreach events as needed

  • Other duties as requested

Minimum Requirements

  • High School Diploma

  • 0-2 years of experience

  • Excellent writing and interpersonal communication skills and experience in handling multiple tasks in an organized and efficient manner

  • Energetic, and articulate individual who has the communication skills necessary to work with all project stakeholders including internal and external clients

  • Proficient in Microsoft Office Suite

  • Proficiency with internet search engines, electronic mail systems, spreadsheet and word processing applications

  • Works well in a team environment

  • Organizational and time management skills

  • Demonstrates initiative

  • Adapts quickly to new tasks

  • Must possess a valid driver’s license and maintain clean driving record for duration of position

Preferred Qualifications

  • Associate’s degree preferred

  • 2+ years of administrative / professional experience

  • Ability to speak Spanish is a plus but not required
