Job Description:

The role is primarily responsible to provide deep Coupa functional and technical expertise in Source-to-Pay and understanding of the end-to-end process area as well as key integration points across the system architecture. The role maintains accurate data in Coupa and connected systems and serves as the lead help desk for users relating to Coupa (e.g. access issues, questions, and user set up questions).

Responsibilities:

  • Manage the day-to-day system administrative tasks and maintenance

  • Configure content groups, enterprise, chart of accounts, approval chains, PO customizations, Tax Codes, PO Transmission methods, requisition process, invoicing, receipts, and tolerances, and execute best Coupa practices.

  • Document and perform low-impact configurations in tools

  • Design and execute customer feedback activities (surveys, focus groups, etc.)

  • Maintain list of common questions and form responses to efficiently respond to users’ questions

  • Track Q&A with users to support analysis of system support activities (e.g., users, questions, response time)

  • Create and maintain accurate knowledge base articles for common processes and troubleshooting steps

  • Support development of on-going training and communication programs with internal customer groups (new employee training)

  • Manage all configuration or customization to support business needs; address critical and unique troubleshooting and triaging user and system issues with the guidance of Team Lead for timely resolution. Identify risks and propose ways to prevent occurrence of similar issues and concerns

  • Create and update SOP/DTP of current and new processes.

  • Perform complex tasks in compliance with service level agreement, process, policies, procedures, and SOX & internal controls.

  • Resolve identified issues and keep the Team Lead updated for open or ongoing concerns.

  • Work with Team Lead to develop process improvement initiatives to streamline processes, improve customer experience, and increase productivity.

  • Develop and prepare reports, analyses, and presentations for periodic and ad hoc requirements.

  • Lead and support key projects, audit reviews, activities, and documentation.

  • Provide guidance and technical expertise to junior members of the team in completing projects as applicable and performing activities related to managing Coupa

Minimum Requirements

  • Bachelor’s degree in Business, Engineering or Computer Sciences

  • At least 4 years of experience in procurement department within a large spend company is preferred

  • 2+ years’ experience in Coupa Administration

  • Exposure to common Finance Systems tools (Oracle, Vertex, Coupa, etc.)

  • General understanding of finance and accounting functions/principles

  • Exposure with Contract Life-Cycle Management

  • Coupa Certification preferred

  • Similar P2P tool certifications

  • Experience in help desk within a multi-national organization

  • Experience working with Audit Teams

  • Strong reporting and analysis capabilities

  • Has the ability to learn and use a variety of software to perform daily activities

  • Advanced proficiency in using MS Office Suite (Word, Excel, and PowerPoint)

  • Ability to identify and resolve moderate and complex issues by applying best practices and technical expertise and may recommend solutions for unique scenarios. (Problem Solving)
