The role provides an opportunity to provide EA support to an industry-respected Senior Executive who has an Australia New Zealand role which also includes regular global engagements. Naturally, this Executive will lean on you to keep the day running smoothly whilst also providing opportunity for you to work with key stakeholders to assist in the smooth execution of the business function and client engagement. You must be self-motivated and proactive, a natural organiser and someone who is able to build strong and lasting relationships with stakeholders both internally and externally.

As the EA, you will also act as a facilitator across within the business unit and with the ANZ Executive team. This is a busy role; one that will keep you challenged and will give you opportunity to stretch yourself beyond a typical support role. Success in this role will be achieved principally by managing time effectively and the time of the executive to ensure that the important things get done! This role will see you providing traditional administrative support to the senior executive and other key stakeholders. This will include the facilitation of meetings, travel and other events with both AECOM staff and external clients and stakeholders. This facilitation will require you to develop a good understanding of what is important to the leadership team and the business. From time to time this role will see you proof-reading and drafting communications. Impeccable attention to detail and creativity is a must!

Additionally this role will:

  • Produce thought leadership report series – desktop research, coordinate inputs and team meetings, launch events, schedule media opportunities and ministerial briefings

  • Coordinate team and actions to produce podcast program – invitation to guests, schedule recording, produce briefing notes, set-up recording studio

  • Communicate with international counterparts across Australia-New Zealand, San Francisco, London, Hong Kong and Singapore to complete cross-region items

  • Organise travel and meeting itineraries for visiting VIPs including international delegations and members of executive committee

  • Compile reporting for executive committees – APAC, ANZ regional, sales and global

  • Draft scripts, speaker notes, letters, communications on behalf of EMD

  • Support key client account management initiatives – meeting schedule, minutes, reporting

  • Support international projects - desktop research, presentations

  • Review and action approvals on behalf of EMD – invoices, travel, timesheets, expenses

Minimum Requirements

  • 8+ years’ experience providing high level administrative support at the executive level;

  • Experience working in a fast-paced, close-knit environment;

  • Event organisation experience – highly desirable;

  • Excellent oral and written communication skills are essential;

  • Fluent in Microsoft Office Suite;
