Job Summary

We have an exciting opportunity for a self-motivated and proactive Archivist or Document Management Administrator to join our team at AECOM. Archivist is responsible for maintaining AECOM Archives by collecting relevant material from various sources, and organising, preserving and documenting all material for records. Previous database and reporting experience will be an added advantage.

Archivist/ Document Management (3 days per week)

  • Provide assistance and guidance to all AECOM employees with the process of identifying and managing those documents requiring archiving

  • Manage the process of registering, lodgement and retrieval of all archive documentation for NSW

  • Maintain the Supplier (Zirco) database of all archive documentation for NSW

  • Search, identify and retrieve archives as requested.

  • Manage the Destruction process of all archive documentation for NSW

Reception (2 days per week)

  • Reception to open from 8.00 am – 5.00 pm

  • Answering and directing incoming calls.

  • Meet and greet corporate visitors to the Sydney office.

  • Management of reception, lounge and business hub area, ensuring exceptional service and cleanliness at all times.

  • Pre-registration of all visitors to AECOM.

  • Ordering of catering for the business – key liaison with requestor and caterer.

  • Accountability for cab charges and access cards

  • Coordinate and facilitate internal and external meetings

Minimum Requirements

  • Minimum 2 years’ experience in an archive administration role

  • Advanced Microsoft Office skills: Word, Excel and PowerPoint, and Outlook

  • Ability to liaise, consult and negotiate with staff at all levels achieving outcomes within the organisation and with external clients

  • Organised with the ability to prioritise coordinate and manage several tasks simultaneously
