Job Summary

This position is eligible to work out of any of our central region office locations in the US, and can also work remotely. This position is for casual status (on call, as needed with varying hours).

Position Responsibilities:

Maintain Highway & Bridge construction management records and related paperwork including PM duties pertaining to billing. This work requires close coordination with the PM, client and contractor. Maintain filing procedures both electronically and paper as required for each project. Monitor and review records on a weekly basics. Listed below are some of the construction records that you will be responsible for:

  • Provides support and services for securing active records and archiving inactive records for required retention periods.

  • Coordinates with IT staff on the management of electronic records to ensure compliance with related policies.

  • Performs general administrative functions, such as document management, filing, log maintenance, processes incoming and outgoing correspondence, and transmittals into a database system.

  • May be assigned a role in active file management.

  • Uses tracking database provided by supplier to manage and track archive records, including storage, retrieval and disposition.

  • Coordinates daily retrieval of information for users.

  • Ensures that only authorized personnel have access to inactive records.

  • Maintains necessary statistics on volumes and activities.

  • Provides information to more senior records management personnel, as required.

  • Under direct supervision, performs general duties that are often routine and repetitive.

  • Receives guidance on all aspects of assignments

  • Material on Hand

  • Ensuring DWR’s completed on a daily basics

  • Reviewing work reports varying math and proper pay items are being used

  • develop, monitor and verify the contractors’ monthly pay estimates

  • Preparing Estimates

  • Delivering the Estimates to Client on time

  • Ensuring contractors are meeting DBE compliance.

  • Having payroll interviews always submitted on time

  • Work with the PM/RE/SI on monthly progress report submitted

  • Barricade reports turned in timely

  • Verify SiteManager checklist events date always updated for barricade reports, payroll interviews, sw3p inspections

  • Verify deficiencies are minimized weekly

  • Safety meeting performed daily

  • Prepares and types correspondence, reports and supporting documents; files; orders supplies and equipment.

  • Courteous, works independently, team player, takes charge

  • This person will be Mentored/surpervised by the Sr Record Keeper.

  • Also will be required to report to the Project Manager and Assistant Project Managers

Minimum Requirements

Minimum Requirements

  • High School Grad or GED

  • No experience required

  • MS Office, understands basic math concepts (addition, subtraction, multiplication and division).

  • Proven ability to communicate internally and externally with clients both verbally and written.

Preferred Qualifications

  • 2 years of advance education in related field preferred

  • 2 years of CEI record keeping experience

  • Advance Knowledge of Excel experience

  • Knowledge of Site Manager, or other Document Control Software

  • Knowledge of Construction of TxDOT Highways and Bridges

  • TxDOT work Experience

Additional Information:

  • This is for Part Time work as needed. Work load could grow into a full time position.

  • This position does not include sponsorship for US work authorization

  • Ability to travel to office locations throughout Texas including remote areas 25% of the time

  • Ability to work with Construction personnel

  • Relocation is not available for this position
