Responsibilities
Schedule meetings and appointments; manage Country Manager’ diary and emails at request.
Manage various administrative tasks that help the executive perform his job.
Organise, manage soft copy documents
Serve as the point person for office manager duties including: Maintenance, Mailing, Supplies, Equipment, Bills, Errands, Shopping
Order stationery and equipment
Maintain the office condition and arrange necessary repairs
Coordinate with IT department on all office equipment
Provide general support to visitors
Liaise with facility management vendors, including cleaning, catering and security services
Plan in-house or off-site activities, like parties, celebrations and conferences
Liaise with the travel agent and employees for their business trips (airplane tickets, hotel bookings, etc)
Maintain various employees booking systems (e.g. office access, minibus pre-booking and others)
Drive the company minibus from Ploiesti to Bucharest (it would be a plus)
Minimum Requirements
Ability to multitask and prioritise tasks.
Excellent time management skills.
Well-developed organisational skills.
Attention to detail and problem-solving skills
Professional discretion.
Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
Knowledge of Office Administrator responsibilities, systems and procedures
Proficiency in MS Office (MS Excel, MS Outlook, Power Point and Word)
Hands on experience with office machines (e.g. fax machines and printers)
Familiarity with email scheduling tools
Excellent time management skills and ability to multi-task and prioritize work
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
A creative mind with an ability to suggest improvements
Preferred Qualifications
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
