AECOM Executive Assistant/Office Manager in Romania, Romania

Responsibilities

  • Schedule meetings and appointments; manage Country Manager’ diary and emails at request.

  • Manage various administrative tasks that help the executive perform his job.

  • Organise, manage soft copy documents

  • Serve as the point person for office manager duties including: Maintenance, Mailing, Supplies, Equipment, Bills, Errands, Shopping

  • Order stationery and equipment

  • Maintain the office condition and arrange necessary repairs

  • Coordinate with IT department on all office equipment

  • Provide general support to visitors

  • Liaise with facility management vendors, including cleaning, catering and security services

  • Plan in-house or off-site activities, like parties, celebrations and conferences

  • Liaise with the travel agent and employees for their business trips (airplane tickets, hotel bookings, etc)

  • Maintain various employees booking systems (e.g. office access, minibus pre-booking and others)

  • Drive the company minibus from Ploiesti to Bucharest (it would be a plus)

Minimum Requirements

  • Ability to multitask and prioritise tasks.

  • Excellent time management skills.

  • Well-developed organisational skills.

  • Attention to detail and problem-solving skills

  • Professional discretion.

  • Proven experience as an Office Manager, Front Office Manager or Administrative Assistant

  • Knowledge of Office Administrator responsibilities, systems and procedures

  • Proficiency in MS Office (MS Excel, MS Outlook, Power Point and Word)

  • Hands on experience with office machines (e.g. fax machines and printers)

  • Familiarity with email scheduling tools

  • Excellent time management skills and ability to multi-task and prioritize work

  • Excellent written and verbal communication skills

  • Strong organizational and planning skills in a fast-paced environment

  • A creative mind with an ability to suggest improvements

Preferred Qualifications

  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
