AECOM is actively seeking a highly motivated Receptionist for employment in the Piscataway, NJ office.

The responsibilities of this position include, but are not limited to:

  • Serve visitors by greeting, welcoming, directing and announcing them appropriately

  • Answer, screen and forward any incoming phone calls while providing basic information when needed

  • Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges)

  • Update appointment calendars and schedule meetings/appointments

  • Perform other clerical receptionist duties such as filing, photocopying, collating, faxing etc.

  • Answering and directing incoming calls including meeting and greeting of visitors

  • Draft and deploy weekly project and team communication updates

  • Close out and archive project files/documents appropriately

  • Coordinate and facilitate internal and external meetings

  • Staff timekeeper running weekly missing timecard reports for approx. 100 employees

  • Contacting staff and manager regarding missing timecards

  • Entering hours for employee without internet access as needed

  • Liaison with payroll team regarding staff time card issues

  • Notify staff regarding any updated timecard deadlines

  • Submit weekly office supplies orders with multiple vendors

  • Submit invoices to Accounts Payable as needed

  • Process daily mail, sign for all packages, notify mail clerk of all deliveries

  • Proactively support Office Manager and Admin team as needed

Minimum Requirements

  • High School Diploma

  • Proven working experience in similar roles

  • Professional appearance, team attitude, client focused

  • Solid communication skills both written and verbal

  • Ability to be resourceful and proactive in dealing with issues that may arise

  • Ability to organize, multitasks, prioritize and work under pressure

  • Proficient with on-line ordering

  • Advanced Microsoft Office skills in Word, Excel, PowerPoint, Outlook required

  • Dependable, on-time, ability to work flexible start time as needed

  • Valid New Jersey Driver’s license

Preferred Qualifications

  • Associates degree

  • 2+ years of experience

  • Oracle experience a plus
