AECOM Proposal Specialist in Montreal, Quebec

Job Summary

AECOM Canada’s environmental marketing team is looking for an experienced Proposal Specialist to assist in winning environmental work. You will collaborate with regional and Business Line (BL) teams on identified priority pursuits, including partnering in the preparation of responses to client solicitations: expression of interests (EOI), request for qualifications (RFQ), requests for proposals (RFP), and pre-position efforts.

In this role, you will be responsible for development and submission of timely, compliant, and persuasive proposals. You must be able to work quickly and independently and be able to effectively prioritize multiple projects to meet competing deadlines. Work may occasionally be required in the evenings or weekends to meet deadlines or to coordinate with staff in different time zones.

This position requires experience in environmental pursuits, attention to detail, creativity, excellent interpersonal and communication skills, solid writing skills, organization, conceptual thinking, and effective decision-making. Work may be performed under the direction of the Environmental business line lead and/or business line staff, but the position will report directly to the Environmental Marketing Team Lead, for the Canada Region Marketing Group.

This position will be based in the Montreal, QC office.

Your primary responsibility is to lead and coordinate the production of proposals and marketing material in response to formal client requests for the Environmental BL proposals.

Responsibilities may include – but are not limited to – the following:

  • Lead/coordinate responses to requests for proposals and expressions of interest, external questionnaires and statements of qualifications. Lead small to medium complexity submissions and assist on complex and strategic high-level submissions.

  • Lead proposal pursuit teams; facilitate proposal meetings (Go/No Go conversations); conduct quality reviews to ensure compliance with RFP requirements & corporate brand.

  • Produce documents in MS Office Suite or Adobe Creative Suite which includes InDesign and other applications.

  • Leads the writing of proposal sections such as executive summaries, past performance sections, management approaches, and resumes/staffing sections for major pursuits.

  • Partner with Capture Team to develop capture plans and strategies for top pursuits, including conducting industry research and competitive analysis.

  • Develop and manage the pursuit delivery schedule

  • Contribute to internal training on topics related to core processes, tools, practices, or other special topics, as needed.

  • Lead and or serve as a reviewer for formal reviews (pink, red, gold) or as compliance reviewer on major pursuits.

  • Support debriefs and gathering of client feedback on proposals to ensure and demonstrate continuous improvement.

  • Support Capture Managers and Project Managers to update Salesforce opportunity records.

  • Lead/coordinate the strategy and preparation of presentation and interview materials.

  • Support the maintenance of marketing information such as resumes and project sheets in the Salesforce system in collaboration with our Knowledge Management/Systems group.

  • Interface with technical and management staff to develop marketing collateral and track progress of assigned opportunities in Salesforce; work in close collaboration with the marketing team across Canada.

  • Coordination with the Marketing Communications group regarding business line social media and website content.

  • Implement and facilitate the proposal marketing process in all pursuits.

  • Supports the marketing communications function that develops marketing collateral, including print materials, presentations, and social media, online content, as needed.

Minimum Requirements

  • Bachelor’s Degree in Marketing, Communications, Journalism, English, Business, or a related field + six (6) years of relevant experience working in Marketing within the consulting engineering industry or professional services marketing.

  • Proficiency in communicating and writing in both English and French.

Preferred Qualifications

  • Eight (8) + years of experience in Proposals Marketing within the consulting engineering industry or professional services preferred.

  • Experience preparing proposals for a consulting engineering or professional services company. Knowledge of marketing procedures, document and presentation production methods, proposal processes/proposal quality and business development in professional services.

  • Strong writing and editing skills.

  • A self-starter who will collaborate with the team and adapt to a rapidly changing and competitive environment and can prioritize and multi-task in high pressure environments.

  • Ability to independently manage a varying workload, including schedule and resource management.

  • Experience in Adobe InDesign, Word, Powerpoint, Excel and Sharepoint.

  • Attention to detail to work efficiently in a busy and deadline driven work environment while maintaining accuracy and quality.

  • A creative-minded individual with strong communication skills.

  • Excellent organizational skills will be highly utilized in a dynamic and professional business environment.

  • Ability to maintain a high level of confidentiality.

  • Experience in/knowledge of P3/Alterative Delivery pursuits is an asset.

  • Translation abilities is an asset.
