Job Summary

AECOM seeks an Executive Assistant (Based in our Century City Office) to provide support for the Senior Vice President, Mergers and Acquisitions and the Senior Vice President, Enterprise Strategy. We are seeking an experienced and professional individual for this high profile position. The Executive Assistant is responsible for:

  • Perform day-to-day tasks including, but not limited to, managing detailed business and personal calendars, meetings and logistics; handling phones; preparing materials; and setting up department activities.

  • Ensure Executive is prepared for all meetings to include organizing appropriate staff work such as read-ahead material, talking points and other relevant material.

  • Perform research related to executive travel briefings, events planning and other matters at the direction of the Executive; manage special projects and special events.

  • Manage logistics of large teams during transactions to coordinate due diligence meetings and process.

  • Determine importance of meeting requests in the context of Executive’s priorities and schedule accordingly.

  • Post appropriate agendas and read-aheads to ensure meetings are efficiently managed. Ensure proper attendance.

  • Prioritize requests and ensure deadlines are met.

  • Perform monthly activities to include, but not limited to, updating M&A dashboards.

  • Respond to inquiries; oversee incoming communications, and when appropriate take action on the Executive’s behalf.

  • Arrange complex international and domestic travel agendas; prepare travel and expense reports on a timely basis.

  • Be versed in dealing and interacting with senior executives, including AECOM’s Chairman and CEO, President, CFO, and Board of Directors.

  • Maintain accurate databases electronically to include address books, files and contacts.

  • Serve as the EA for the M&A group by coordinating activities and driving efficiencies within the group. Work with other EAs and colleagues, as needed, to support department and/or company events.

  • Perform other related projects and duties as requested.

Minimum Requirements

The successful candidate will have a proven track record in:

  • Working in a fast-paced c-suite environment for large global companies.

  • Working in environments where confidentiality and discretion are integral to the projects.

  • Working with other senior EAs and EAs on company and individual matters.

  • Managing by influence and diplomacy across a large matrixed organization

PROFESSIONAL EXPERIENCES, KNOWLEDGE, SKILLS, ABILITIES, AND COMPETENCIES

  • College degrees preferred but equivalent job experience and a history of strong performance is more important

  • 7-10 years experience in an executive assistant capacity to senior leadership

  • Meticulous skills with a verifiably excellent performance track record. Anticipates well. Asks the right questions before problems arise.

  • Experience working in a distributed global environment and across multiple time zones

  • Basic understanding of procurement concepts and the role it plays within corporations.

  • Understanding of business concepts

  • Skilled in upper-level administrative support functions including extremely strong follow-up skills

  • Highly proficient technical skills (Microsoft Outlook, Excel, Word, Power Point). Knowledge of box.com, Sharepoint, Salesforce.com and other desktop tools is also helpful.

  • Experience working in a highly demanding and fast-paced environment

  • Experience in working with highly confidential information

  • Ability to think and act independently and strategically

  • Highest degree of integrity, professionalism, diplomacy, and discretion required

  • Ability to handle multiple tasks efficiently and effectively and meet tight deadlines

  • Ability to anticipate and address issues and needs

  • Must demonstrate good judgment and decision making capabilities

  • Must be a resourceful and independent thinker

  • Must be a self-starter with excellent prioritization skills

  • Excellent verbal and written communication skills

Preferred Qualifications

  • BA/BS degree
