Job Summary

Located at our Downtown Los Angeles office, the Executive Assistant is a key role in the Audit Services Group (ASG) who will provide administrative support to the global ASG leadership team. ASG is responsible for evaluating the adequacy and effectiveness of AECOM’s systems of internal controls that guide company activities toward accomplishing primary business objectives. Reporting to the Corporate Vice President, Audit Services, this position requires a high level of resourcefulness, administrative skills, ability to prioritize and multi-task, excellent communication skills and the highest degree of confidentiality.

Responsibilities:

  • Manage administrative tasks, including setting up meetings; managing vendor relationships; ordering supplies; answering, screening, routing and/or responding to calls

  • Review draft documents for accuracy, format, grammar and consistency

  • Assist in coordinating agendas and preparing presentations for leadership team meetings and off-sites, and department global team meetings

  • Anticipate administrative requirements associated with ASG objectives and initiatives and develop action plans to provide the required support

  • Coordinate detailed meetings and other events, and assist in preparing meeting materials including presentations

  • Coordinate onboarding activities for new joiners and co-source staff

  • Manage complex international and domestic travel arrangements, and prepare travel and expense reports on a timely basis

  • Interact with senior executives, internal and external business partners, and other key stakeholders.

  • Establish, maintain and update files and records

  • Assist in maintaining ASG’s intranet site

  • Perform other related projects and duties as assigned

Minimum Requirements

  • 3 + years of experience in an executive assistant capacity to senior leadership in a large global organization, with a verifiably excellent performance track record

  • Understanding of business concepts

  • Skilled in upper-level administrative support functions

  • Highly proficient technical skills including preparing presentations and working with spreadsheets (Microsoft Outlook, Excel, Word, Power Point)

  • Experience working in a highly demanding and fast-paced environment

  • Experience in working with highly confidential information

  • Highest degree of integrity, professionalism, diplomacy and discretion required

  • Ability to handle multiple tasks efficiently and effectively, and meet tight deadlines

  • Ability to anticipate and address issues and executives’ needs

  • Must be a resourceful and independent thinker, able to think and act strategically

  • Must demonstrate good judgment and decision-making capabilities

  • Must be a self-starter with excellent prioritization skills

  • Excellent verbal and written communication skills

  • Experienced working with all levels in a corporate environment

Preferred Qualifications

  • Bachelor’s degree preferred

  • Local candidates preferred
