Job Summary

AECOM is actively seeking a paralegal to help administer and provide support to AECOM’s Corporate Risk Management Approvals system and processes (HUB) and our Enterprise Project Risk Office (EPRO). The position location can be Los Angeles or Chicago, will provide support to our global operations and report to executives based out of our Los Angeles and London offices.

Essential Responsibilities: HUB

Facilitate HUB approvals, which requires understanding of AECOM’s approval policies and matrices. Interface including routing original requests from operations to the appropriate enterprise-level approver(s) and communicating approval/conditions of approval to operations. Verify that all approvals defined by approval matrices are obtained prior to processing requests for HUB approval(s). Prioritize urgent requests. Log and track all HUB correspondence between operations and executive leadership in a centralized database, including submittals, approvals, and associated correspondence. Provide reports to various groups.

Essential Responsibilities: EPRO

Assist EPRO team with Project Reviews, including coordinating, updating and tracking on AECOM applications. Serve as Website Administrator including maintain the official records related to project reviews in a secured SharePoint library, setup of document libraries for new projects and archival of downgraded projects to a network location. Serve as OneNote Administrator including manage daily project documentation. Coordinate Risk Management initiatives, including contacting project teams to schedule reviews and healthy starts, gather contract documents and HUB/Risk Committee conditions of approvals. EPRO Weekly Team Meeting including preparing agendas, tracking actions, updating review list, tracking compliance for project reviews, setting up monthly project summary forms and obtaining financial data. Maintaining Project Review document library.

Minimum Requirements

  • Bachelor's Degree or demonstrated equivalency or experience and/or education

  • Proficient in electronic document management, as well as Microsoft SharePoint, Excel and Outlook.

  • Experience of using information systems such as Insight, Oracle, Salesforce

  • Detail oriented

  • Basic knowledge of engineering terminology

  • Good multitasking, prioritizing and organization skills

  • Due to the nature of this work, US citizenship is required

Preferred Qualifications

  • 3+ years of working experience in similar capacity preferably from the legal/ engineering / consultant industry or equivalent

  • Paralegal Certification
