Job Summary

Proven experience in information management (paper, digital data and other media formats) is essential as well as experience in SharePoint implementation and it's day-to-day management.

A good understanding of Configuration Management and Information Technology would also be an advantage to the person with the right information experience. This role is a combination of responsibilities across traditional Information Governance, Operations and Compliance.

The role will require you to be embedded within the PMO team to provide first line advice and guidance on all aspects of Records Management to the projects on the programme thus a sound understanding of Information Management, Information Governance and relevant legislation is essential to the role.

Accountabilities and Responsibilities:

  • Develops, implements and continually reviews and refines the organisation’s Information Governance, including Information Management Strategy (IMS), policy and processes to promote best practice and maintain compliance with statutory obligations. Thus ensuring regulatory and legislative compliance for the lifecycle management of information assets within the Programme.

  • Your role as Programme Records Officer will include working with the Senior Information Risk Owner, and Data Protection Officer to make risk-based decisions on strategic and tactical issues, working with internal and external stakeholders at various levels. To manage and mitigate information risks associated with the legal, contractual, security and accessibility aspects of the programmes information.

  • You will work with PMO to review and influence designs of systems of record, and you will work closely with other Senior Information Managers elsewhere the organisation to ensure a cohesive Knowledge and Information Management approach. Ensuring business requirements are satisfied and information is exploited, managed and protected throughout programmes lifecycle.

  • Ensures best practice is implemented within the programme with regards to the management and structuring of information, and ensures that information can be accessed when and where required to ensure that it’s potential is maximised in respect of exploitation and re-use downstream.

  • Act as the Programme Records Officer, with responsibility for the programmes retention and disposal of records.

  • Provides advice and guidance at both programme and organisational level in respect of information handling, information lifecycle management and the interpretation of policy, and are pivotal in the delivery of information assets, systems and applications, their management through life and their decommissioning supports the Senior Information Risk Owner (SIRO) in discharging their responsibility in relation to the identification and mitigation of information risk, working closely with Information Assurance (IA) and Information Technology (IT) team members within the organisation.

  • Managing and implementing the information management capability for the PMO.

  • Establishing and managing an effective SharePoint environment for the projects to store retrieve and manage their records; ensuring that project personnel comply with the information handling standards set.

  • Maintain and promote high personal standards in environment, safety, health, security and quality and be a team player at all times.

Key Skills and Experience:

  • Managing multiple concurrent tasks whilst maintaining effective judgment in prioritising and your own time and those of other team resources.

  • May train lower level document control staff as required.

  • Ability to engage with key stakeholders on the project to assist in gathering requirements and construct associated plans and documentation such as Business Cases, Reports, Plans.

  • Experience vital in the management of SharePoint site and working with a team environment to ensure that they implement and comply with the standards required for the management of the project’s records within a SharePoint environment.

  • Highly skilled in customer relations and communications, both written and oral

  • Strong knowledge and experience in established process procedures utilising enterprise content management system and able to extract reports and perform queries from it.

  • GDPR knowledge

Minimum Requirements

  • You will hold a certified Information Profession qualification to postgraduate level or equivalent and/or will have experience at professional Grade 7 (Leader) of the Government Knowledge & Information Management (GKIM) Professional Skills Framework.

Preferred Qualifications

  • Degree or Master's in Engineering, Information Technology or Analytical Science (e.g. Maths, Physics, Data Science) and/or will have experience at professional Grade 6 (Senior Leader) of the Government Knowledge & Information Management (GKIM) Professional Skills Framework.

  • Desirable to be Microsoft 365 certified
