Job Summary

Aecom is currently looking for an Office Manager / Local Safety Officer to organise and co-ordinate administration duties and office procedures for 270+ staff in a busy Consultancy.

Your role will be to create and maintain a pleasant work environment, ensuring high levels of organisational effectiveness, communication and safety. The Office Manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations.

Job Duties:

  • Assist the Office Leader to make arrangements to provide a safe, healthy and environmentally friendly place of work.

  • Liaise with the regional FM manager on soft and hard FM and landlord issues in accordance with the Global Real Estate Policy.

  • Implementing and maintaining procedures/office administrative systems.

  • Overseeing the provision of efficient and effective administrative support to the office including the Line Management of 4 Administrators.

  • Organising induction programmes for new employees.

  • Support relevant forums and office meetings.

  • Preparing presentations and reports.

  • Assist the Office Leader in managing safety, health and environment matters.

  • Help develop and implement effective SH&E arrangements at the location (inductions, DSE assessments, emergency escape, first aid, risk assessments etc.)

  • Support effective business continuity and ensuring emergency plans and arrangements are in place.

  • Promote compliance with the IMS and support business excellence initiatives.

  • Support the Office Leader to appoint appropriate numbers of competent local staff to assist in maintaining a safe office, for example fire wardens, first aiders, manual handling trainers, display screen equipment assessors.

  • Check the effectiveness of arrangements during monthly inspections and propose improvements to the Office Leader.

  • Act as the local point of contact for feedback, comments, suggestions and discussion of SH&E matters raised by staff and ensure SH&E information is displayed as required.

  • Report and respond to office-related SH&E incidents (injuries, near-miss incidents) and observations and provide the Office Leader and Regional SH&E Manager with investigation reports.

Preferred Qualifications

  • HNC or 10 year’s prior experience

  • Proficiency in Microsoft Office suite
