Position Title Administrative Assistant / Biller

Job Summary

AECOM is actively seeking a creative, highly talented Administrative Assistant / Biller for immediate employment for the Houston, TX office. AECOM is proud to provide our employees with exciting, challenging projects.

The responsibilities of this position include, but are not limited to, those listed below:

Project Invoicing Duties:

  • Pull invoice for ABC once billing has generated

  • Review sub invoices for accuracy per the WA and Contract

  • Review and maintain staff list for AECOM and subs

  • Prepare Labor Detail List - per AECOM timesheets

  • Compare timesheets from subs to sub invoice

  • Review mileage reports

  • Prepare ODE's per Contract

  • Prepare Proj vs Actual Report after invoice is completed by Lexy (see attached)

  • Review invoice from biller before submitting to client

  • Submit sub invoices to AGIS after invoice approved by client

  • Assist the TRA PM's with invoicing, progress reports

  • Make sure PM submits Progress Report

  • Ensure PS-CAMS is updated

  • KEY - notify all subs of upcoming invoicing dates and get them to submit on time.

  • Project tracking - billed to date, remaining balances for AECOM and subs

  • Verification subs are paid timely

  • Work with billers to address issues

Project Support Duties:

  • Set up filing system and maintain (AECOM and Project Files [SharePoint])

  • Assist and setup new projects

  • Assist in pursuit of new projects

  • Work with the finance department on project issues

  • Support staff on training and committees

  • Support bookkeeper

  • Order supplies

  • Assist with safety initiatives

Minimum Requirements

  • High School Diploma or equivalent

  • 2+ years' experience or demonstrated equivalent combination of education, skills, knowledge, abilities and experience

  • Excellent understanding of Microsoft Excel (pivot tables, micros, formulating equations within multiple tabs and worksheets, etc.)

  • Ability to work with staff throughout the region

  • Basic understanding of accounting practices and principles

  • Basic understanding of invoicing practices and principles

  • Basic understanding of Microsoft Power Point

  • Excellent oral and written communication skills

  • Fluency in the English language

Preferred Qualifications

  • Completion of, or progress towards, an Associate's Degree or higher, or equivalent Advanced Training (English, Math, Education, Business, Accounting, etc.)

  • Previous experience with accounting and invoicing at an architecture, engineering, or construction firm

  • Previous experience with Texas Department of Transportation (TxDOT)

  • Excellent mathematical skills (calculating areas and volumes of simple polygons and circles) a plus

  • Bilingual in Spanish is a plus
