AECOM Document Control / Administrative Assistant in Honolulu, Hawaii

Job Summary

AECOM is actively seeking a highly motivated Administrative Assistant/ Document Controls for immediate employment in the Transportation group at the Honolulu, Hawaii office.

Job Summary:

The candidate will provide administrative support to one or more managers within a group, office or business unit including some of or all of the following: prepares or proofs correspondence, forms, spreadsheets, or documents, schedules meetings, makes travel arrangements, and/or maintains inventory of office supplies.

Duties include:

  • Attend project meetings, prepare and distribute meeting minutes, actions and Issues logs.

  • Assist in the establishment of documentation and associated change control policies and procedures.

  • Monthly status reports and basic accounting.

  • Skilled organizational ability and attention to detail.

  • Assist with generation and editing of documents and document templates.

  • Assist in the management of electronic communications and document management systems.

  • Assist in managing schedules and plans associated with various projects.

  • Perform periodic QC of document controls to evaluate compliance to requirements.

  • Assist with document control and training compliance within the Quality Management System.

  • Proficient in Microsoft Word, Excel, PowerPoint, Outlook, Project, and other programs to accomplish work.

  • Works closely in a team environment.

  • Assistance with subcontract execution, invoices, and maintaining of records.

  • Billing coordination, and periodic timesheet and cost transfers.

  • Familiar with standard concepts, practices, and procedures within construction or engineering projects.

  • Relies on experience and judgment to plan and accomplish goals.

  • Uses Word, Excel, PowerPoint, Outlook, and other programs to accomplish work.

  • Works under direct supervision.
