Position Title Document Controller, PRC (Associate)

Job Summary

Set up and maintain an electronic filing system to control all correspondence between the management team, Arch/Engineer, contractors, vendors, and Employer.

Set up all project logs utilizing selected Project Management software.

Maintain all project drawing files and drawing control on the electronic document control system. This includes active design drawings as well as all shop drawings originated by the contractors. Drawing control shall monitor the disposition of each drawing and expedite each shop drawing from contractor to reviewing engineer back to the contractor, distributing copies to PMC (or Employer) as needed.

Establish procedures for maintaining project information on the software.

Perform data entry for all project logs.

Initiate various document control reports (RFIs, submittal, samples, etc.) that are published weekly and monthly.

Prepare and maintain official contract files.

Provide special reports as requested in support of project team for meetings, etc. Handle all material deliveries to the Management Offices and sign for the equipment delivered.

Maintain various other logs for the team.

Set up a file for each contractor and each vendor under each contractor.

Other responsibilities as may be assigned by the Program Control Manager.

Minimum Requirements

Bachelor degree with relevant business discipline

Minimum 8 years working experience in project administration or document controller capacity preferably in a construction or design consulting environment

Experience setting up an efficient and effective filling system for easy access by the Project team

Familiarity with a database driven document control system

Good multitasking, prioritizing and organization skills

Proficiency in Microsoft Office and Outlook

Good oral and written communication skills, fluent in English and Mandarin
