Job Summary

AECOM is hiring a HR Onboarding Administrator to join our Shell Scotford project team on site near Fort Saskatchewan, Alberta. This is a Temporary (1-year contract) position on a 5/2 shift schedule.

Local Candidates ONLY as NO Living Out Allowance (LOA) or NO Camp/Travel (FIFO) option available for this project.

This position will be responsible for providing clerical support to the Human Resources (HR) department : Talent Acquisition/Recruitment. Duties may include processing employment applications and resumes. Maintaining personnel files, including creating files for new employees. Examines personnel files to answer inquiries and provide information to authorized persons. Generates a variety of standard reports as required. Takes direction and works under direct supervision. Decisions made or reviewed in conjunction with a more senior HR practitioner.

May include the following responsibilities:

  • Provide support to Talent Acquisition group which may include creating requisitions to hire, job postings, preparing offer letters, onboard new hires and assist in recruitment strategies.

  • Administer assigned employee program (i.e. Apprenticeship Program) for eligible employees including database maintenance, employees’ eligibility checks, coordination with different business units to collect required information and/or documents, order placement and distribution of certificates/plaques and awards/gifts to business units or employees

  • Provide administrative support to HR client group which may include employee form preparation

  • Administer Applicant Tracking and Onboarding systems

  • Review and approve new hire / re-hire submissions and onboarding packages/documents

  • Complete special project assignment as dictated by HR business needs

  • Maintain employee databases such as training records/certificates for new and existing employees

  • Arrange seminars and meetings

  • Distribute communication materials (including email communication) for the group to the business units, employees, and outside service providers

  • Post communication of client group to company intranet

  • Organize HR files and documentation on company intranet

  • Assist HR client group regarding employee background checks

  • Provide new hire orientation seminars, if necessary

  • Review and upload sign-on packages

  • Scan and save HR forms and employee documents per e-Filing standards for each assigned client group and/or division

  • Respond to employees’ inquiries made through the Onboarding inbox.

Conditions of Employment for this position are:

  1. For positions that fall into the list of required positions within the AECOM Oil & Gas Background Check policy, qualified applicants who are offered, and accept, the role must complete a satisfactory pre-employment Background Check. This may consist of all or a combination of the following: Canadian Criminal Record check, an Employment Verification and/or an Education and Accreditation Verification.

  2. For positions that fall into the list of required positions within the AECOM Oil & Gas Alcohol & Drug (A&D) policy, qualified applicants who are offered, and accept, a position must provide evidence of a satisfactory Alcohol & Drug test in accordance with the Company's Alcohol & Drug Policy. In order to be valid, the test must have been conducted at the direction of AECOM - O&G Business Unit.

Minimum Requirements

  • High School, College or University degree in a related field

  • Ability to work under pressure and meet deadlines while maintaining a professional and courteous demeanor

  • Strong data-entry, detail-orientation and analytical skills

  • Able to work in team environment

  • Strong veral and written communication skills

  • Intermediate knowledge in the use of Microsoft Outlook, Word and Excel

  • Ability to travel as needed.

  • Abel to work in site/remote work setting.

Preferred Qualifications

  • 1 to 2 years' experience in an office environment is an asset

  • Post-secondary certificate or diploma in Human Resources Management from accredited institution is preferred

  • An interest in pursuing or currently working towards the CHRP or any Human Resources related designation will be an asset

  • Human Resource / Recruitment department experience preferred

  • Advanced knowledge in the use of Microsoft Outlook, Word and Excel
