AECOM Front of House/General Admin in Croydon, United Kingdom

Job Summary

AECOM is looking for a Front of House/General Administrator to work in our Croydon office. Due to the nature of the position the hours will be 8.30 – 17.00 with half an hour for lunch, adjustable if an hour required.

Typical responsibilities of the role will include:

  • Greeting visitors, covering office H&S and informing staff they are meeting with they have arrived;

  • Organising internal and external meetings including meeting room bookings, video conferences;

  • Organising refreshments and required facilities;

  • Assisting the project teams as required with printing, typing and other project related work including uploading and downloading of information, completion of registers and related items;

  • Scanning, binding and photocopying;

  • Booking training for staff to achieve Health & Safety requirements for site work, CSCS, or for project-specific requirements;

  • Trained fire marshal;

  • Making travel arrangements and booking train tickets as requested;

  • Distribution of incoming post in the absence of the Floor Champion;

  • Ordering IT equipment for new starters as required, and new starter set up process e.g. printers;

  • Arranging couriers in absence of Floor Champion;

  • Raising Purchase Orders and/or Virtual Credit Card payments and arranging payment of invoices as required;

  • Working alongside the FC team to reinforce behaviours that maintain agile working such as, supporting mobility across the building, availability of spaces, and observation of room bookings. Other examples include making sure desks, meeting rooms/spaces and project areas are being used in accordance with our policies;

  • Ensuring printers/plotters are available to be used at all times and stock is managed accordingly, letting the Floor Champion know when supplies need to be ordered;

  • Other reasonable duties within the general scope of the job title as directed by the Office Manager.

  • Work includes some of or all of the following: prepares or proofs correspondence, forms, spreadsheets, or documents, schedules meetings, makes travel arrangements, and/or maintains inventory of office supplies.

Minimum Requirements

  • Previous experience in a similar role in a busy office environment

  • Relies on experience and judgment to plan and accomplish more complicated goals.

  • Competent user of Word, Excel, PowerPoint, Outlook, and other programs to accomplish work.

  • Works under general supervision
