Position Title Knowledge and Systems Coordinator
South Africa - Gauteng
Our Bid Studio has a vacancy for a Knowledge and Systems Coordinator with experience in knowledge and information management for major bids.
The Bid Studio Knowledge and Systems Coordinator will help foster the development and availability of knowledge to support the writing of winning bid answers. This will include collating market intelligence, as well as contributing to a bid library of project information sheets, standard information about the company, and building a network of the best people to approach as and when additional input is required.
To further develop systems and processes to support good bidding, the Knowledge and Systems Coordinator will also collaborate with the UK-based Head of Bid Knowledge, Systems and Training to champion best-practice across EMIA.
Duties and Responsibilities:
Managing access to the best information to support bidding, including previous bids, project information sheets, CVs in standard form, standard information about the company and a network of the best people to go to as and when additional input is required.
Contributing to the management of an online library of project sheets, project KPIs as well as process and performance data to support planning and strategy, in line with corporate and regional systems
Managing access to bid-related information, including collating evidence and market intelligence
Supporting the writing of good bid answers, including cultivating and updating best practice bid material and tools.
Working with an international team to ensure the Bid Studio’s systems and processes are best-in-class, both to cover bidding (including writing) and collaboration software and document management systems.
Arranging fit-for-purpose training for Bid Studio members and others working on bids, in consultation with the Bid Knowledge, Systems and Training Lead in the UK and the Bid Studio Lead in Africa.
Working closely with CV writers and project experience sheet writers.
Working on bids from time-to-time, as required
Participating in conferences, seminars and training workshops, as required
Other support to the Bid Studio Lead, as required.
Experience with of Client Relationship Management (CRM) systems, such as Sales force.
Knowledge of document management software such as Huddle and SharePoint.
Aptitude for critical, honest and independent thinking.
Excellent English writing and editing skills.
A keen eye for detail.
Solid working knowledge of Microsoft Office packages including email and file management, as well as Adobe InDesign and Illustrator.
An eagerness to learn.
Solid organisational skills.
Able to contribute effectively as part of a team.
Demonstrates flexibility and multi-tasking.
Comfortable and effective when working across all levels of an organisation.
Able to function with strategic rather than day-to-day supervision.
Persuasive interpersonal skills.
B-degree in an associated discipline.
