Position Title Secretary/Document Control

Job Summary

Responsible for providing an efficient and professional reception, document management and control and general administrative support to AECOM.

Office support, Administrative support to the staff

Minimum Requirements

  • Meet and greet guests of the Company. Share information about guests if necessary, with relevant employees and ask employees to meet guests at the reception place.

  • Answer and distribute incoming/outgoing phone calls, with necessary politeness and professionalism to maintain the Company's image. Ask people on the phone who they need be connected to and how to present them. Receive message if an employee is absent or/and unreachable by phone. Relate received message to employee on time.

  • Follow the Company's policy about confidential information: do not give internal and mobile numbers of the Company employees. Do not discuss any information which became known due to work specifics.

  • Review incoming correspondence before distribution.

  • Receive, provide registration of incoming/outgoing correspondence, faxes, according to the Company workflow procedure.

  • Provide full safety and operational information about distribution of correspondence.

  • Provide on time incoming correspondence to related departments.

  • Control correctness of formulation of outgoing correspondence by departments

  • Give suggestion to improve internal workflow to immediate manager; inform departments about changes in workflow procedure.

  • Provide assistance with the conference room. Manage timely reservation of conference room and inform employees if necessary. Keep clean teapots, tables, desk, and working area all the time as well as during long meetings.

Preferred Qualifications

  • University degree or equal.

  • Minimum of 2 year of relevant work experience

  • Basic understanding of engineering, construction and commissioning documentation

  • Good knowledge of business procedures and workflows

  • Fluency in Russian and English

  • Excellent MS office suite knowledge
