Job Summary

AECOM is actively seeking a creative, highly talented Project Administrator for immediate employment at a project site in Susanville. The Project Administrator will manage and facilitate the implementation of a comprehensive document management system, including computer indexed storage and retrieval capabilities for all internal and external, design and construction-related documents, to be used by all program management, construction management, design and other consultant resources.

The responsibilities of this position include, but are not limited to, those listed below:

  • Facilitate transition of documents to operation and maintenance staff

  • Maintains project directory

  • Reviews, logs and acts upon incoming and outgoing documents

  • Supports evaluation and alternative analysis for document control

  • Performs normal administrative functions such as, filing, log maintenance, process incoming and outgoing correspondence and transmittals into the database system, record and store photographs, schedule meetings and prepare/distribute minutes

  • Assists in preparation of reports and power point presentations

  • Assists in development and update of project administrative procedures and in maintenance of project manuals and library

  • Scans, codes and logs documents

  • Manage and maintain all project documents in Documentum or equivalent system. Update current drawings as well as technical specifications

Minimum Requirements

  • High School Diploma

  • 6+ years administrative experience including large project or program document control management

  • Familiarity with office computer systems and set-up

  • Good communication skills (written and verbal), proactive problem solving, ability to adjust to changing job environment, and background in office procedures

  • Proficiency in using MS Word, Excel, Access (or other data base) and Power Point

  • Knowledge of TIAs

  • Ability to read and understand design and construction drawings to an EIT level

Preferred Qualifications

  • Ability to organize and manage contractors on complex projects and coordinate with public agency

  • Demonstrate proactive problem solving skills

  • Strong customer service skills

  • Experience in the public contract code arena

  • Possess a thorough knowledge of contract administration and office procedures
