Job Summary

Assist Team Leaders to:

Assist to preparation of project proposal/reports/PPTs/other documents.

Assist to prepare internal agreements/sub-consultant agreements as needed.

Assist to prepare payment request for project expenses.

Team project database/library set up and maintenance.

Interface with Business Development Department and other dept for necessary project issues.

Assist Project Team to:

Assist necessary hotel and flight bookings for project travels.

Assist organize project meeting/workshop logistics.

Assist translation of project documents.

Assist LLQM (Lead Local Quality Manager)/ LQM(Local Quality Manager )

Assist IMS management and maintenance include but not limited to:

Supplier Management, new vendor application via IMS standards.

Year-end supplier assessment.

Annual client survey.

Assist internal quality audit and make sure all IMS forms are filled and achieved on server in time.

Work will lead quality manager and regional quality team to make sure a smooth delivery of IMS in Shanghai.

Independent assignments:

Regular meeting organizing (monthly team meeting, weekly leaders meeting, bi-weekly brownbag, weekly resourcing meeting and etc.)

Expense report checking and follow-up for leaders.

Receive visitors and book conference rooms as required.

Schedule conference call for leaders or project teams as required.

Organizing team building activities and assist in office events.

Assist team seating and new team member onboard.

Back up when other PA is on leave.

Minimum Requirements

Bachelor degree, English/Management major preferred, TEM-8 or CET-6.

Team oriented quick learner and problem solver.

Proficient in Microsoft Applications, basic knowledge in Adobe software is preferred.

Preferred Qualifications

Strong communication and coordination skills.
