About the Business Line
AECOM’s Global Support Services (GSS) organization resides within AECOM’s Government business line and is comprised of three divisions — International Development, Operations and Mission Support, and Global Programs. GSS has the international presence, personnel networks and procurement infrastructure to deliver support for any mission, anywhere. We optimize the reliability, availability and sustainability of equipment, logistics systems and facilities for clients around the world. GSS supports the U.S. Government, non-U.S. Governments and industry clients with worldwide program management, planning, design, operations and maintenance, logistics, aviation services, security, international development, environmental and civil engineering and mission and intelligence support.
This position is contingent upon contract award.
This work will be performed in various locations: Alabama, Florida, Georgia, Louisiana, Mississippi, South Carolina, Texas, Puerto Rico, Hawaii and Guam.
Provides broad administrative and secretarial support with minimal supervision to specified Manager(s)/Director(s). Uses greater judgment and initiative to determine the approach of action to take in non-routine situations, interprets and adapts guidelines, including unwritten policies, precedents, and practices, which are not always completely applicable to the changing situations. Duties include or are comparable to the following:
Manage the office of a member of a specified manager(s)/director(s). Based on knowledge of the manager(s)/director(s) views, compose correspondence on own initiative about administrative matters and general office policies for manager(s)/director(s) approval.
Anticipate and prepare material needed by the manager(s)/director(d) for conferences, correspondence, appointments, meetings, telephone calls, etc., and informs manager(s)/director(s) on matters to be considered.
Read publications, regulations, reports and directives and take action or refer those that are important to the manager(s) director(s) and staff.
Prepare special or one-time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence, other offices, etc., under general direction and for the decision making process.
In concert with the Director(s) or Manager(s), design and implement the necessary business processes to cause the effective functioning of the office.
Prepares, proofreads and distributes correspondence. Composes own correspondence as well as correspondence for signature including the execution and distribution of reports. Also, prepares special or one-time reports, summaries, or replies to inquiries under general direction.
Screens, directs, and handles incoming telephone calls and requests. Responds to inquiries exercising significant initiative and judgment based on knowledge of policies and procedures including answering customer inquiries, acting as a liaison.
Opens, reviews and processes correspondence and other incoming information.
Organizes and maintains departmental files in accordance with applicable procedures.
Conducts data entry input and generates reports as required. Also, creates and maintains spreadsheets and other databases as required.
Schedules appointments, arranges meetings, and prepares required materials. May attend meetings and records and report on proceedings.
Perform all other position related duties as assigned or requested.
Work Environment, Physical Demands, and Mental Demands:
Typical office environment with no unusual hazards, occasional lifting to 20 pounds, constant sitting while using the computer terminal, constant use of sight abilities while reviewing documents, constant use of speech/hearing abilities for communication, constant mental alertness, must posses planning/organizing skills, and must be able to work under deadlines. Position may require the ability to pass and maintain a Security Clearance. Position may require travel.

Procedure Compliance - Each employee must read, understand and implement the general and specific operational, safety, quality and environmental requirements of all plans, procedures and policies pertaining to his/her job.
Bachelor's degree in Business Administration or a related field, and at least 5 years of job-related experience or equivalent.
Requires operating application software including word- processing and spreadsheet programs.
Problem solving skills and the ability to multitask are essential functions of the job.
Advanced knowledge of Microsoft Office Word, Excel, Power Point.
Must possess excellent communications skills.
Position may require the ability to pass and maintain a U.S. Government security clearance.
Must have a favorably completed National Agency Check with Written Inquiries (NACI) including a FBI fingerprint check prior to installation access.
Must be able to obtain and maintain a Common Access Card (CAC) or Rapid Gate Pass if required.
Must pass a pre-employment drug screen and a government background check.
Must be able to speak, read, write and understand English.
Must be either a US citizen or a US permanent resident with a minimum of 3 years legal residency in the United States.
- Bachelor's Degree in accounting is preferred.
