Job Summary

AECOM is actively seeking a creative, highly talented Assistant Project Manager for immediate employment for the Rancho Cordova / CDCR client office.

The responsibilities of this position include, but are not limited to, those listed below:

  • Provides support including preparation of correspondence, reports, meeting minutes, and slide presentations, receipt and distribution of incoming and outgoing documents and related duties including entering documents into the MIS (SharePoint)

  • Provides project management assistance to support the project managers and team

  • Receives and files all incoming and outgoing documentation

  • Prepares and maintain files in accordance with CDCR procedures

  • Responsible for maintaining the final project archive documents per CDCR record requirements

  • Coordinates and manages the archive files for CDCR

  • Assists project managers in the preparation of monthly reports and uploads into FRAME

  • Collects daily reports and maintains the Daily Report Log

  • Assists in process incoming and outgoing RFCs, RFIs, submittals, pay requests, safety concerns, non-compliance notices, and other program management related documentation

  • Assists in special reports as requested by the client

  • Assists in preparing bi-weekly contingency reports and uploading into FRAME

  • Prepares meeting minutes and other correspondence for the project team

Minimum Requirements

  • Bachelor's Degree

  • 6+ years program and construction management administrative and assistant project management service experience

  • Experience in document control and filing systems, meeting minutes, RFI/submittal and other project logs and management

  • Proficient in MS Professional Office Suite including: Excel, Word, Access, and PowerPoint

  • Experience with project management software systems such as SharePoint, Prolog, Expedition and/or Constructware

  • Must be detail oriented, thorough, well organized and effectively manage time

  • Ability to multi-task in a high-energy environment and be able to prioritize multiple tasks

  • Must possess a background in construction or engineering related work activities to understand the terminology used in the office environment on a daily basis

  • Must be flexible and able to work in a very fast paced work environment and at times under the pressure of meeting critical deadlines

  • Ability to work in a client office and collaborate with multiple clients

  • Great attention to detail to deal with additional CDCR codes, client expectations etc.

  • Comfortable following AECOM's safety protocols

  • Excellent verbal and written communication skills

  • Must have a valid driver's license

  • Due to the nature of the work, US Citizenship is required

  • Qualified applicants who are offered a position must pass a pre-employment substance abuse test and CDCR’s security clearance to access the prisons

  • Travel will typically be 5% to prisons across the state of California

Preferred Qualifications

  • Education, Healthcare, Public Works or Corrections/Justice experience ideal
