AECOM has an exciting opportunity for an experienced Project Administrative Specialist on our Apogee Project located in Richland Washington. This position provides support for the Implementation and Sustainability department in a variety of capacities including the review and processing of forms, correspondence, government deliverables and deliverables tracking, overseeing with the web-based reporting system, proposal support, and other diversified activities in accordance with Apogee’s values, policies and procedures. This position requires excellent communication skills with internal and external clients. Ensure project is in compliance with the guidelines and due dates set forth by the client. Draft, revise, and format technical correspondence as needed. Format and edit documents such as deliverables, program deliverables tracker, and other documents as needed. Review, revision, and formatting of technical documents such as Field Change Requests, Design Requirements Documents, and Amendments to the Designs. Ability to modify and/or create graphics needed in Design Requirement Documents using design software such as Adobe. Coordinate required documents including drawings, associated costs, etc. from a team consisting of internal team members and subcontractors. Provide training to subcontractors and internal team members as needed when program guidance changes. Review project schedules to ensure compliance with program guidance timelines and provide input to subcontractors when revisions are required. Coordination of proposals; including review, and editorial changes. Provide input to Project Controls on budgets of open projects, ensuring project labor and travel budget is on target. Maintain and provide administrative support for the web-based reporting system. Attend project meetings as required. Bachelor’s degree in a related field and at least four (4) years performing duties equivalent in level of responsibility to above; or any equivalent combination of experience and training that provides the required knowledge, skills and abilities.
Must be willing to sign a Non-Disclosure Agreement.
The job holder may require additional job-related certification and/or training during the course of employment for specific tasks and/or project and/or field operations support.
Strong attention to detail.
Ability to multi-task with multiple complex projects daily and ability to switch gears quickly and efficiently multiple times each day.
Team player who works well with others.
Proficient in Microsoft Office.
Proficient in Adobe Pro.
Some travel may be required.
- Project Management experience preferred.
