Job Summary

The nature and scale of projects undertaken by the office varies widely and includes: building and infrastructure projects ranging from private residential developments to large scale commercial and public sector buildings; rail projects including culverts, bridges, station structures and trackside structures; wind farm projects; maritime projects including ferry piers & jetties, docks and lighthouses.

We are seeking a driven and flexible individual, preferably with experience in a financial or business administration role. Being a Project Management Administrator primarily means supporting business project managers but also being part of a wider business and office support team; being flexible about offering help and assistance at all levels.

The successful candidate will need to fulfil duties that are key to the smooth running of the business and office. The principal duties will comprise:

  • Supporting project managers with the financial administration of consultancy projects utilizing Excel and database packages

  • Support project managers in the generation of invoices to maintain business cash flow

In addition, the role will entail:

  • Monitoring prompt invoice payment by clients

  • Arranging and tracking supplier payments

  • Monitoring and pursuing completion of staff timesheets

  • Supporting colleagues in submitting expense claims

  • Offering general office support including answering staff queries and helping to solve general issues that may arise

  • Providing cover for office administration duties including making corporate bookings for individuals or events, assisting in printing and arranging tender documents as well as arranging refreshments for corporate meetings/events as necessary

Minimum Requirements

Good mathematical knowledge and sound experience in working with spreadhseets (e.g. Excel) to deliver financial analysis and records.

Attention to detail

Team player and good communicator

Good problem solving skills

Flexible, pro-active attitude with willingness to undertake a range of tasks and provide cover for others when needed

Ability to fit into an existing team and co-operate with others

Preferred Qualifications

A-level maths a minimum requirement. Higher standard desirable.
