Job Summary

AECOM is actively seeking a creative, highly talented Administrative Assistant for immediate employment for the Ottawa, Ontario office. AECOM is proud to provide our employees with exciting, challenging projects. This is a temporary position, expected to last 1 year.

The responsibilities of this position include, but are not limited to, those listed below:

  • Perform various administrative tasks within specified deadlines including word processing of proposals and reports using AECOM standards

  • Provide reception coverage for the office including greeting visitors

  • Prepare tenders, contracts, specifications, and legal documents

  • Maintain archive records including and arranging for retrieval and refiling of archived projects as required

  • Process timesheets and travel requests for staff in the office

  • Support office manager and project managers with accounts payable with coding of invoices, setting up vendors and escalation

  • Order office supplies and process requests for purchases for staff using the AECOM system

  • Prepare labels and envelopes for mail and hand delivery

  • Troubleshoot word-processing problems for other staff

  • Distribute memos, emails, and various correspondence

  • Maintain records of office procedures to advise and guide staff in their implementation

  • Maintain any hard-copy files for the office

  • Provide pro-active client service on a daily basis demonstrating a flexible and amenable attitude

  • Other duties as assigned by the Manager

Minimum Requirements

  • 6+ years' related administrative experience;

  • Achieved advanced level using Microsoft Word, Excel, and PowerPoint

  • Demonstrates a flexible and client-service attitude on a daily basis

  • Excellent interpersonal, organizational and communication skills

  • Accuracy and attention to detail is essential

Preferred Qualifications

  • Graduate of an Office Administrative College Program

  • Achieved advanced level using Microsoft Word, Excel, and PowerPoint

  • Demonstrates a flexible and client-service attitude on a daily basis

  • Excellent interpersonal, organizational and communication skills

  • Accuracy and attention to detail is essential

  • Bilingualism is an asset

  • Driver’s License and use of car is an asset
