Job Summary

In this key role on the Enterprise Communications Team, will provide administrative support to three global communications vice presidents through:

  • Managing administrative tasks including setting up meetings, ordering supplies and food and managing vendor relationships.

  • Screening incoming telephone calls and mail.

  • Providing research assistance on various communications projects and initiatives.

  • Processing timesheets.

  • Coordinating meetings and other events including addressing meeting requests in the context of the executives’ priorities and preparing meeting materials and presentations.

  • Arranging and managing complex international and domestic travel agendas and expense reports.

  • Preparing and providing executive travel briefings.

  • Managing special projects and events.

  • Prioritizing requests and ensuring deadlines are met.

  • Responding to inquiries, overseeing incoming communications, and when appropriate, initiating action on the executives’ behalf.

  • Interacting with senior executives, internal and external business partners and other key stakeholders.

  • Maintaining accurate databases including address books, files and contacts.

Minimum Requirements

This position requires a high level of resourcefulness, outstanding administrative skills, ability to prioritize and multi-task, excellent communication skills and a high degree of confidentiality. The successful candidate will be a self-motivated, highly organized and detail-oriented individual who thrives in a flexible and fast-paced environment. Requirements include:

  • Three or more years of experience as an executive assistant to senior leadership in large, global organizations with a verifiably excellent performance track record.

  • Solid understanding of business concepts and highly skilled in upper-level administrative support.

  • Highly proficient computer skills including preparing presentations, working with spreadsheets and with Microsoft Outlook, Excel, Word and Power Point.

  • Experience working in a highly demanding and fast-paced environment with highly confidential information.

  • Highest degree of integrity, professionalism, diplomacy and discretion.

  • Ability to handle multiple tasks efficiently and effectively and meet tight deadlines.

  • Ability to anticipate and address issues and executives’ needs.

  • Be a resourceful and independent thinker, able to think and act strategically.

  • Demonstrate good judgment and decision making capabilities.

  • Self-starter with excellent prioritization skills.

  • Excellent verbal and written communication skills

  • Experienced working with all levels in a corporate environment.

Preferred Qualifications

  • Bachelor's Degree and/or specialized training.
