Job Summary

As the Project Administrator/Junior Document Controller your role will be to contribute to the successful delivery and profitability of our services for infrastructure projects. You will work on and provide document control and administration services for a number of related projects with one of our clients, as well as providing support services to project teams. Some of your responsibilities include;

  • Control of project information using UniPhi including taking receipt of, registering, preparation (including printing as required by team members) and distribution of packages/documents for review by IR team members.

  • Prepare outgoing correspondence for IR Rep to sign off in UniPhi.

  • Screen and register incoming and outgoing emails to the IR account, distribute for action and upload to UniPhi.

  • Scan & register into UniPhi and file externally all hardcopy business records e.g. Design Packages / Project Management Plans etc. (as required by the team).

  • Maintain office equipment and supply of office requisites.

  • Schedule and take minutes for meetings when required

  • Perform general administration duties as required.

This is a Fixed Term position for 4 months with the possibility of extension.

Minimum Requirements

  • 3+ years experience within a Project Administration or Document Controller position

  • Knowledge of UniPhi is not important, however good computer skills are (Microsoft applications).

  • Intermediate office skills would be an advantage but we are happy to train the right person.

  • Strong attention to detail is imperative as is a willingness to learn the role.

  • Team player but able to work autonomously.

  • Able to quickly disseminate documentation and who it should be distributed to.

  • Ability to multi-task and prioritise against conflicting deadlines
