Job Summary

The Administrative Assistant will perform routine and technical typing assignments including general correspondence, bulletins, memos, technical bulletins and manuals, statistical reports, and financial materials. Additionally, perform routine clerical tasks such as filing, mail opening and distribution, answering and screening telephone calls, maintaining office files and various logs.

As an Administrative Specialist, one has the responsibility to:

  • Review Branch employee’s time punches and reconciles discrepancies and submits to payroll using E-Time.

  • Type/word process routine correspondence, reports, forms and memoranda from rough draft.

  • Complete work order on a daily basis and proofread for accuracy.

  • Maintain various logs and records such as production logs, long distance calls, etc.

  • Order general office supplies.

  • Post changes to regulations, and ensures that information posted on the bulletin boards is current.

  • Answer telephone, screen calls, receives messages, and operates standard office equipment.

  • Photocopy reports and correspondence and distributes to appropriate personnel.

  • Maintain current correspondence files, reports and memoranda.

  • Answer routine inquires, directs visitors to proper locations, and may prepare simple charts and graphs.

  • Operate MAXIMO Work Management System.

  • Perform other duties as assigned or directed.

Minimum Requirements

  • Must possess ability to work with minimum supervision.

  • Must be able to read, write and understand the English Language.

  • Must be able to type (45) words a minute

  • High School diploma or GED required

  • Secretarial courses at an accredited Institution

  • Must be a U.S. Citizen, able to obtain and maintain a Top Secret Security Clearance.

  • No relocation provided.

Preferred Qualifications

  • Prefer at least two years’ experience as receptionist or office manager.
