Job Summary

The Role has a global scope providing services to EMIA Global Mobility. The Primary purpose is to provide full assignment lifecycle assistance to managers and assignees from pre-assignment to repatriation within AECOM’s established assignment policy guidelines.

Strategic:

  • Partner with Global Mobility Lead to improve programs, policies and administration of the mobility process to meet the business' needs and ensure success in attracting, retaining and motivating our global workforce.

  • Deliver innovative, flexible and cost efficient mobility solutions to the EMIA globally mobile population.

Operational:

  • Responsible for completing assignment compensation and relocation packages for new assignees, as well as cost projections and balance sheet calculations for the business, while maintaining compliance with government guidelines (i.e. UK Visas and Immigration, etc.)

  • Ensuring key stakeholders can make informed decisions around the total cost of global mobility.

  • Serve as the primary contact for the business on immigration matters, to include obtaining, maintaining and monitoring visa and work permit status for all authorized employees, including expiration dates.

  • Assure that background check criteria meets the individual contract requirements, such as security clearances or other special client needs.

  • Participate in annual review and revision of Flexible Benefit schemes.

  • Work with Corporate Tax Team to ensure all secondment letters and service orders are in place in order to prevent triggering a Permanent Establishment (PE) for the home entity in the host location.

  • Work closely with third party vendors, such as tax consultants, immigration lawyers and relocation vendors to ensure timely, quality services are provided within agreed service levels and cost expectations.

  • Advise assignees, HR and business leaders on policy and process changes as appropriate.

  • Maintain frequent and regular contact with project teams to ensure project timelines and deadlines are on schedule.

  • Accountable for successful delivery of annual salary review, bonus, stock awards, COLA review, Payroll reconciliations.

  • Responsible for assignee/assignment data input into the Global Mobility Software Solution (Assignment Pro).

  • Track and report ongoing mobility-related costs.

  • Partner with Payroll and Global Mobility Tax to ensure quarterly and year-end payroll reporting is accurate.

  • Manage effective relationships with stakeholders including assignees, leaders and senior staff, HR, finance, colleagues within the global team, and outsourced service providers and vendors.

  • Assist with invoice processing/tracking of payment status. This includes working with vendors and the internal Accounts Payable department.

  • Assist with special projects and other administrative duties as needed.

Minimum Requirements

  • Ability to deliver high-quality and culturally competent customer service support to assignees, vendors, and various internal support services’ teams during the international assignment process.

  • Demonstrated ability to develop project plans, meet deadlines and take accountability for successful project outcomes.

  • Demonstrate strong critical thinking skills and the ability to interpret and apply Global Mobility policy to determine appropriate resolution to issues.

  • Adapt to rapidly changing priorities and manage multiple projects.

  • Ability to effectively analyze data and use experience, good judgment and input from key stakeholders in recommending solutions to problems/issues.

  • Ability to collaborate and work effectively with global workforce

  • Proactive individual that seeks out opportunities for process improvement as well as individual development.

  • Demonstrated proficiency using Microsoft office, payroll systems, and HR management systems.

  • 5 plus years of experience working in International Human Resources or Global Mobility

  • Strong attention to detail
