Job Summary

Hours for this position will be either approximately 10 a.m. to 7 p.m. or 7 a.m. to 4 p.m. PST, Monday through Friday. Occasional evening and weekend work also expected. The position will be based in Century City, California.

As part of a team, but under own initiative with minimal supervision, this position will provide administrative support and activities to the Chairman and CEO and his team.

Key Areas of Responsibility:

  • Drive priorities and manage short-term and long-term schedules; prepare Executive for meetings and appointments; pre-review meeting materials for quality and take action on the Executive’s behalf when appropriate.

  • Schedule and organize demanding business meetings in a timely fashion; make recommendations to resolve scheduling conflicts.

  • Maintain and manage extensive calendar for business and personal appointments, make reservations as needed.

  • Engage with other internal stakeholders to ensure Executive’s office is maintained and functional.

  • Interact with AECOM Board of Directors.

  • Screen heavy volume of in-coming telephone calls, e-mail and regular mail.

  • Manage Executive’s emails and files.

  • Maintain private and business contact database.

  • Complex international and domestic travel arrangements and all logistics related there to, including working with 3rd party travel consultant to plan, make and verify travel arrangements for airline, security, hotel and car reservations.

  • Manage special projects and events.

  • Processing of expense reports.

Minimum Requirements

  • 3-6 years in an executive assistant capacity to C-suite leader of a Fortune 500 organization.

  • Advanced proficiency in Microsoft Office Suite.

  • Strong communication (both written and verbal) and interpersonal skills; good listener.

  • Service oriented and embraces change.

  • Discretion in handling confidential material, and high level of comfort liaising and interacting with directors, senior executives and other stakeholders.

  • Ability to multi-task and prioritize a diversified workload, meeting established deadlines with minimal supervision.

  • Excellent organizational skills with focus on accuracy and attention to detail.

  • Good judgment, tact and initiative to make independent decisions when necessary.

  • Resourceful and able to maintain grace under pressure.

  • Proven ability to succeed in a demanding, fast-paced environment.

  • Schedule flexibility.

  • Understanding of business concepts.
