Job Summary

Hours for this position will be approximately 7 a.m. to 3:30 p.m. PST, Monday through Friday. Occasional evening and weekend work also expected. The position will be based in Century City, California.

As part of a team, but under own initiative with minimal supervision, this position will provide administrative support and activities to the Chairman and CEO and his team.

Key Areas of Responsibility:

Travel Coordination

  • Flight scheduling

  • Car service coordination

  • Hotels

  • Complex itinerary building

  • Docs/Visas/Immunizations

  • Attire information

  • Offsite workspace booking

  • Frequent flier and award point management

  • Booking support team travel


  • Scan inbox for items to action

  • Morning and evening office organization

  • Secondary scheduling support

  • Meal order and plating

  • Phone coverage support

  • Manage draft email process

  • Requesting and organizing preparation materials

Minimum Requirements

  • 3-6 years in an executive assistant capacity to C-suite leader of a Fortune 500 organization.

  • Advanced proficiency in Microsoft Office Suite.

  • Strong communication (both written and verbal) and interpersonal skills; good listener.

  • Service oriented and embraces change.

  • Discretion in handling confidential material, and high level of comfort liaising and interacting with directors, senior executives and other stakeholders.

  • Ability to multi-task and prioritize a diversified workload, meeting established deadlines with minimal supervision.

  • Excellent organizational skills with focus on accuracy and attention to detail.

  • Good judgment, tact and initiative to make independent decisions when necessary.

  • Resourceful and able to maintain grace under pressure.

  • Proven ability to succeed in a demanding, fast-paced environment.

  • Schedule flexibility.

  • Understanding of business concepts.

  • Bachelor’s degree
