Job Summary

AECOM is actively seeking a creative, highly talented Project Assistant for immediate employment in the Hunt Valley, MD office.

Responsibilities include, but are not limited to:

  • Provide administrative support in such areas as scheduling and organizing meetings, mail, monitor correspondence, take, prepare and distribute meeting minutes

  • Attend Meetings onsite and offsite at client project/office locations

  • Assist senior project architects and project managers, technical editors, and field personnel in the coordination of project activities such as project schedules, project status reports and financial summaries, and design submission reports

  • May interact with sub-consultants on general questions or inquiries, assist with client presentation preparation, status reporting, files, databases, and document control

  • Ensure that project reporting deadlines are met

  • Work with Excel to manipulate data and distribute to architectural project leads and department manager

  • May interact with regulatory agencies and/or subcontractors to exchange information

  • Prepare expense reports

  • Coordinate meeting preparation, room set-up and breakdown, conference call setup, catering arrangements, etc.

  • Deliver documents to clients

  • Schedule and make travel arrangements for architectural personnel

  • Manage badging requirements and internal compliance at airports where staff are badged

  • Interface with client representatives

  • Coordinate printing, collating, and packaging of client submittals (drawings and specifications)

  • Assist in proposal writing and packaging, word processing, proofreading, page layout

Minimum Requirements

  • High school diploma

  • 2 + years of experience in a comparable position

  • Must possess excellent organizational skills, be a self-starter and highly motivated, task and detail oriented

  • Proficient and efficient, capable of multi-tasking, meeting deadlines, adhering to AECOM policies & procedures

  • Need to possess strong communication skills and perform in a fast-paced environment

  • Possess the ability to interface with management and communicate effectively, both oral and written communication

  • Must possess intermediate to advanced Microsoft Excel skills, and possess ability to create spreadsheets

  • Must possess intermediate to advanced Microsoft Word skills and experience for general correspondence, proposal and presentation documents

  • Ability to work late during deadline pushes

Preferred Qualifications

  • AA or BS preferred

  • Previous experience in an architectural, engineering or construction contractor’s office desirable

  • Basic Accounting, accounts payable experience desirable

  • Flexibility is key for this position, role will evolve based on the type of project(s) in the office at the time - One day may not be the same as the next

  • Able to compose presentations with Microsoft Power Point
