Job Summary

As a Recruiting Coordinator professional at AECOM, you’ll support the full recruiting lifecycle by working closely with our recruiting team and hiring managers across all Design Consulting Services business lines to ensure a fast, efficient, and human recruiting process. You’ll often be the first and last person an applicant communicates with, making your role a crucial part of our recruiting efforts and company brand.

The Recruiting Coordinator is an administrative role responsible for scheduling, coordinating interviews, print production, identifying interview venue, extending offers, generating offer letters, background variance resolution, data entry and internal/external reporting. The Recruiting Coordinator will work with the recruitment team members and hiring managers and event vendors to ensure that all applicants have been processed and hiring events are accurately planned.

  • Work closely with the Talent Acquisition Managers and Resource directors to schedule hiring events

  • Work with local administrators to schedule venues, interview rooms, and other event vendors as needed

  • Generate and send offer letters/packages

  • Manage event guest list, send out invitations, and manage RSVPs

  • Monitor outsourced background activity and work in tandem with the vendor and People Services to complete applicant background/drug processing

  • Communicate the decision of the applicant to all recruitment support groups by updating the applicant management database and sending out status notifications

  • Keep Applicant Tracking System updated at all times (Kenexa Brass Ring)

  • Maintain tight control over every minute detail of an event and its execution

  • Solve problems as they come up through production and execution event phases

  • Recognize issues and resolve proactively

  • Manage all event documentation, from budgets, receipts, contracts, contact lists, and guest lists

  • Experience with immigration and visa sponsorship a plus

  • Other duties as assigned

Minimum Requirements

  • Bachelor’s Degree with 1+ years of professional experience, or High School Diploma plus 4+ years of professional experience in scheduling and event coordination

  • Proficiency in Microsoft Office programs, especially Access

  • Ability to travel as needed

Preferred Qualifications

  • Strong ability to prioritize, multi-task and stay calm under pressure

  • Can-do, customer service attitude

  • Ability to work in changing environment with changing business needs

  • Experience in HR, recruiting, and/or consulting environments strongly preferred

  • Familiarity working in a fast-paced, demanding and deadline-driven environment

  • Strong communication skills, both written and verbal

  • Bilingual in Spanish or French a plus

  • Immigration knowledge

  • Knowledge of database management, analysis, creation, etc.
