Our team of environment specialists offers clients expertise in air quality, impact analysis and permitting, environmental health and safety management consulting/due diligence, remediation consulting/engineering and construction/site restoration, specialty and emerging technologies, waste services and water and natural resources.

Job Summary

The Environmental Services Group of AECOM Halifax is actively seeking a creative, highly talented Project Support Administrator for immediate employment in the Halifax, NS office. The appropriate qualified applicant will support projects from multiple business disciplines including construction, environment, power, water, wastewater and transportation.

The responsibilities of this position include, but are not limited to:

  • Day to day administration support including word processing, time/budget records and invoicing;

  • Coordination and interaction with AECOM project managers; project controls administrators, accountants and various clients;

  • Routine project support including management of project submittals, RFI’s, invoices, etc.;

  • Providing client invoice preparation support for Project Managers;

  • Setting up the Electronic data management system;

  • Establish hard copy incoming and outgoing CAD drawing/sketch folders/files;

  • Active management of all document control & data management, ensuring compliance with this Project Plan, and maintaining incoming/outgoing document registers;

  • Maintaining the email archive and correspondence databases;

  • Assisting the Project Manager, Deputy Project Managers and Team Leaders in administration and filing;

  • Records and archiving;

  • Reviewing invoices from sub consultants for payment approval;

  • Using various client on-line software systems for the submittal of reports, documents and drawings;

  • Assisting with marketing, proposal and presentation preparation, copying and submission;

  • Taking and producing meeting minutes.

Minimum Requirements

  • High school diploma;

  • 2+ years of related experience;

  • Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint, SharePoint);

  • Strong organizational, technical and communication skills;

  • Ability to work independently or within a team environment;

  • Strong multi-tasking abilities;

  • Committed to working efficiently to complete tasks within budget and schedule constraints.

Preferred Qualifications

  • Degree/Certificate in related field;

  • Experience supporting construction projects/programs;

  • Financial accounting experience;

  • Marketing production experience.
