Job Summary

AECOM is seeking a Facility Maintenance Planner / Scheduler for our team of pharmaceutical maintenance technicians in Groton, CT! Typical work hours are 7:00am – 3:30pm; hours may vary based on business demand.

This position’s primary function is to plan and schedule preventive and corrective maintenance tasks for a team of facility maintenance technicians. The Planner / Scheduler acts as liaison between AECOM staff, subcontractors and clients for the planning and scheduling of maintenance work orders. In addition, this position will work with technical leads and technicians to prioritize and plan work according to facility requirements.

Essential Functions:

  • Distribute Preventive Maintenance and Demand Work Orders in the form of a weekly schedule and assist Supervisor and/or Leads with job coordination.

  • Collaborate with Technical leads and technicians to properly plan work orders including material management, task estimating for budgetary approval and customer communication.

  • Utilize CMMS to record work order classification, priority, activities and trade.

  • Analyze and report data on Demand and PM Work Orders such as: overdue, backlog, received/ completed statistics and additional reports as requested for monthly reporting to Program Manager and Supervisor

  • Work with the Supervisor, Leads, Technicians and Procurement to ensure accurate and timely communication with the requestor(s) regarding status of work orders such as: awaiting parts, on hold, or that have been rescheduled

  • Work with contract administrator ensures timely and accurate vendor support.

  • Provide recommendations with regards to facilities equipment and utility systems maintenance programs.

  • Comply with established safety and environmental procedures

  • Adjust to changing conditions and occasionally work second shift, holidays, and weekends as required

  • Perform under minimal supervision and exercise independent judgment in problem resolution

  • Communicate facilities requirements to team leads.

  • Comply with and enforce AECOM and company policies and safety practices, procedures and guidelines such as job hazard analysis, lockout/tagout, and the use of PPE.

  • Operate various measuring, diagnostic and testing tools, instruments and software to perform troubleshooting, work completion and to provide energy efficiency solutions.

  • Maintain a strict schedule in order to be successful in the assignment and meet expected client service levels as established by the Company

  • Be flexible in the day-to-day activities and shift scheduling for the benefit of the customer’s mission.

  • Comply with Good Manufacturing Practices (GMP) and Good Laboratory Practices (GLP).

  • Respond to emergency calls (by phone or in person) during off-hours and determine resources needed to mitigate problem (AECOM or subcontractor)

  • Perform other duties as assigned by the AECOM Program Manager.

Minimum Requirements

Minimum Requirements:

  1. Bachelor's degree in facility maintenance, engineering or related field or demonstrated equivalent combination of education and experience. 8 years of experience in maintenance and repair of industrial HVAC, industrial electrical, plumbing or utility plant operations will be considered demonstrated equivalent experience with no education.

  2. Two years of facility maintenance planning experience.

  3. Exposure to any skilled trade.

  • This position may require various shifts, weekends, and alternative work schedules.

Physical Requirements:

  • Some tasks will require repetitive wrist movement.

  • Some tasks will require the ability to walk extensively throughout facilities during a workday.

  • Requires ability to read and understand information contained in a variety of documents or displayed on a computer screen.

  • Requires ability to use a variety of office equipment and to operate a computer keyboard to access data bases, to send/receive messages and to prepare documents.

  • Requires ability to attend meetings throughout the site and potentially travel to other AECOM, customer and/or vendor locations in the area, as well as some air travel to more distant locations.

  • Requires the ability to communicate with others on the telephone and in one-on-one or group discussions, meetings and presentations.

  • Demonstrated fluency in computer use including the full Microsoft product line.

  • Requires some moving of light to medium weight materials into desks, filing cabinets and other storage locations.

  • Requires the ability to interact with all clients in a professional and friendly manner despite periods of stress.

Special Requirements:

  • Wear steel toe safety shoes, safety glasses, gloves, hard hats and other Personal Protective Equipment as needed.

  • Cope with demands (stressors) that are associated with the job and/or the work environment so that acceptable levels of performance and overall contribution are maintained.

Preferred Qualifications

Preferred Qualifications:

  1. Strong mechanical/electrical aptitude with an understanding of critical systems supporting the pharmaceutical industry, such as HVAC, chillers, electrical components, and plumbing.

  2. Experience with a CMMS (computerized maintenance management system) such as MAXIMO, EAMS or other database systems.

  3. Experience in employee and subcontracted work coordination in a predictive and reliability-based facility maintenance program.

  4. Experience working with a building management monitoring system.

  5. Certificate or formal training from Facility Maintenance Organizations such as IFMA, AFE or BOMA.

  6. Ability to read and interpret blue prints, schematics and one-line drawings.

  7. Journey level license in HVAC, Electrical or plumbing.

  8. Proficient with MS Office Suite (Outlook, Word, Excel and Access).

  • Must be willing to work overtime when required. May be required to work holidays and weekends.
