Job Summary

AECOM is seeking a Management Support Specialist to provide support for a Marine Corps Systems Command contract.

Responsibilities may include:

  • Collaborate with Finance and PMs for Subcontractor invoice processing, Coversheet creation, Reconciliation, verification of funds through CostPoint queries, and submittal for payment.

  • Provide administrative leadership in the completion of contract tasks including responsibility for deliverables, cost tracking, and travel schedules.

  • Analyze requirements, interface with other professionals to generate program documentation such as plans, schedules, briefings, reports, correspondence, contracts/contract modifications, technical instructions/procedures and/or related material.

  • Maintain a MS Project Program Management Plan.

  • Maintain and update all travel schedules, ensuring availability of funding and receipt of appropriate travel approvals. Assist travelers with expense report creation/entry. Serve as manager proxy for expense review prior to approval.

  • Prepare various documents for team members requiring Common Access Cards (CAC) and or SYSTEM AUTHORIZATION ACCESS REQUEST (SAAR) accounts.

  • Prepare and or review final deliverable documents for submission.

  • Develop and maintain Contract Data Requirements Lists (CDRLs).

  • Coordination with PMs, AECOM employees, Subs, and the finance department to compile weekly, monthly and quarterly reports.

  • Support budget forecasting by collaborating with finance on budget projections, provide FMERs, attend weekly forecasting meeting, and manage and create Excel Forecasting tools.

  • Complete Procurement of Materials and Services, Sole Source Justification Forms, Purchase Requests.

  • Assist with Deltek timesheet completion and compliance and expense inquiries and issues.

  • General Program Management support to include drafting and tracking COR travel and material requests/approvals.

  • Supporting Finance by completing MIPRs, updating the MIPR tracking sheet, assistance with ROM instruction and reconciliation of invoices with the Government.

  • Support subcontracting function by handing Sub Capabilities Statement forms, Sole Source Justification Forms, Statements of Work, Sub Rational forms, CAC validation letters, and Sub Technical Evaluation form completion.

  • Support labor category mapping for AECOM and subcontractors by maintaining Excel labor mapping workbook and retaining resumes for all.

  • General office support, mail delivery (USPS, UPS, Fed Ex), set up of new employees with CUAR and AMEX forms, electronic filing, etc.

Minimum Requirements

  • Bachelor's Degree and 5 years of progressive related experience. Additional related experience may be substituted for education.

  • Strong working knowledge of Microsoft Office applications with expertise in MS Project and experience in Integrated Master Schedules.

  • Strong organizational skills and ability to perform detail oriented work.

  • Position may require travel.

  • Must be able to obtain/maintain a Secret Security Clearance.

Preferred Qualifications

  • Excellent writing and communication skills and strong verbal and interpersonal skills.

  • Self-starter who can work well independently with minimal supervision and broad direction.

  • Proactive team player with excellent problem solving, analytical and interpersonal and technical writing skills and must be able to coordinate multiple tasks. Knowledge of program management.

  • Experience with Marine Corps and/or tactical vehicles.

  • Proven work experience with Federal Acquisition Regulations;

  • Earned Value Management System; Costpoint and or related systems, and knowledge of Federal Travel Regulations Policy is desired.
