Job Summary

As Hub QA Administrator, you will provide administrative support to the assigned Hub QA Lead regarding quality and other matters, in addition to ensuring the quality archive is complete and accurate and related reporting is done in a timely manner. Promote the quality culture and visibly support the quality function/ethos and demonstrate appropriate behaviours.

Main Corporate QA Team services:

  • Providing system guidance and governance (incl. quality culture)

  • Monitoring for compliance, statistical reporting (KPI)

  • Performing internal audits and managing the third party certification audits

  • Provide the Quality Awareness Programme

  • Drive continual improvement (incl. root-cause investigations)

Job Duties

  • Responsible for providing administrative support within the assigned Hub QA Lead and Team for quality related documentation, communications, registers and statistical reporting.

  • Responsible for ensuring that required data collection from the Project QA Representatives within the assigned Hub Countries is done in a timely manner and support the Hub QA Lead in further compiling the collected data presented within the Monthly Quality Report.

  • Responsible for assisting the Hub QA Lead with the coordination and updating of the Hub Region Audit Schedule, related audit reports and tracking of audit findings for the internal and external audits executed on the Hub Region Country Offices and selected projects. Next to presenting this information to the Lead Auditor – EMIA in a timely manner.

  • Responsible for ensuring that all Hub Region quality related registers are continuously complete and accurate.

  • Responsible for data preparation regarding the IMS documentation and feedback received from the Hub QA Lead to present accordingly to the IMS Lead - EMIA, next to assisting the Hub QA Lead with distributing the IMS updates and quality awareness within the assigned Hub Countries.

  • Responsible for notifying the Hub QA Lead regarding inconsistency of document numbering and document revision control issues as presented to the Project QA Representatives to ensure integrity of master documentation.

  • Responsible for the preparation of the quality related awareness items, such as memos, bulletins, trainings, etc. for the Hub QA Lead for review, followed by the distribution and archiving thereof. In addition to ensuring these are consistent across EMIA under the coordination of the IMS Lead - EMIA.

  • Responsible for maintaining the quality intranet portal for their assigned Hub Region by assisting the IMS Lead - EMIA to ensure the latest information is shared with the corresponding business units/projects within the assigned Hub Countries.

  • Responsible for assisting the Hub QA Lead with their schedules for meetings and workshops, to include booking hotel and travel as required.

  • Responsible for tracking and recording IMS related training and development sessions execution within the Hub Countries.

  • Other administrative tasks as required by the QA Team.

Minimum Requirements

  • Excellent administrative working knowledge for maintaining quality management systems.

  • Ability to perform in a multi-cultural and time driven environment.

  • Knowledgeable of ISO 9001 (latest version).

Preferred Qualifications

  • Excellent communication skills using English Language and assigned Hub Country languages are a plus.
