Job Summary

AECOM is seeking a Time- Entry Admin to be based in our Calgary, Alberta location.

The Shared Services job family includes, but is not limited to, the following administrative functions: accounts payable, travel expense processing, craft and administrative payrolls, time collection and tax reporting. Typically associated with a transaction-intensive, centralized operation that is designed to serve as a resource for management in preparing, reviewing, auditing, and processing accounts payable, travel expense reimbursement, and payroll. Provides management with the flexibility of not having to mobilize resources on a project-by-project basis. Capitalizes on process improvement and increased volume of transactions as the avenue for reducing overall cost of transaction processing. Improved knowledge base facilitates ability to adapt to individual project requirements.

Provides assistance to office and field operations to help ensure compliance with company policies as well as applicable state and federal regulations. Personnel interface with internal and external auditors in regards to supporting various audits in the normal course of business.

Job disciplines require general accounting knowledge as well as knowledge of company practices and procedures.

May include the following responsibilities:

  • Under close supervision, applies some advanced skills.

  • May adapt procedures, processes and techniques to meet the more complex requirements of the position.

  • Duties and tasks are frequently non-routine.

  • Resolves most questions and problems, and refers only the most complex issues to higher levels.

  • This is the first level for Payroll Specialists.

  • Knowing the project/work order/branch you are entering payroll for

  • High volume of entries

  • Creating Field tickets based on the project/work orders that entry needs

  • Understanding different job types, payroll codes and payment structures

  • Timesheets entry/upload and accuracy of same

  • Daily verification report

  • Working as a team member

  • Analytical skills required in order to perform some reconciliations

  • People skills: working closely with PM, FM and peers

Minimum Requirements

Education:

  • High school diploma or equivalent preferred.

Experience:

  • 2 years in office administration.
