Job Summary

AECOM is actively seeking a creative, highly talented Administrative Assistant for immediate employment in the Boston, Massachusetts office.In this position, you will be a member of the team working on our MassRIDES project, which manages the statewide travel demand management (TDM) and Safe Routes to School programs at the Massachusetts Department of Transportation. Both programs aim to reduce traffic congestion and improve air quality by encouraging Massachusetts residents to use green, active transportation modes such as carpooling, public transportation and bicycling.

As an Administrative Assistant, you will provide support for the project team in key administrative and operational areas including customer service, data entry, invoicing, reporting and general office operations. You will work in a fast-paced environment with daily interaction with the client and outreach teams.

The responsibilities of this position include, but are not limited to:

  • Provides administrative support to professional/technical staff

  • Provides customer service through phone and email

  • Handles some accounting and project financial tasks

  • Directly assists Project Manager, Deputy Project Manager and Operations Manager with tasks

  • Ensures all work products are of high quality

  • Coordinates project mailings and distribution of promotional materials

  • Handles administrative processes such as ordering supplies and office mailings

  • Other duties as requested

Minimum Requirements

  • High school diploma

  • Knowledgeable and conversant on MassRIDES and Safe Routes to School programs and services

  • Excellent writing and interpersonal communication skills and experience in handling multiple tasks in an organized and efficient manner

  • Energetic and articulate individual who has the communication skills necessary to work with all project stakeholders including internal and external clients

  • Proficient in Microsoft Office Suite

  • Proficiency with internet search engines, electronic mail systems, spreadsheet and word processing applications

  • Ability to achieve objectives through teamwork

  • Works well in a team environment

  • Excellent organizational and time management skills

  • Demonstrates initiative

  • Adapts quickly to new tasks

  • Must possess a valid driver’s license

Preferred Qualifications

  • Associates or Bachelor’s degree in Marketing, Business, Communications, or related field

  • 2+ years of administrative/secretarial/clerical experience

  • Business development, sales, marketing, outreach or other relevant business experience is an asset
