Job Responsibilities:

Perform and/or coordinate a variety of administrative and clerical tasks to support executive and project staff with minimal supervision. Performs all functions and responsibilities in partnership with the company’s culture, corporate vision, ethics and code of conduct.

  • Provides accurate, timely efficient administrative support, including the creation of proper documents, correspondence, transmittals and internal memoranda.

  • Acts as conduit of information and liaison between staff members and other departments, external contacts and clients. Such liaison may include arranging meetings, seeking clarification or interpretation of a company policy or procedure.

  • Processes incoming and outgoing mail, ensuring items get to intended recipients in an expeditious manner.

  • Maintain a well organized filing system that permits timely retrieval of documents.

  • Run miscellaneous errands, pick-up and deliveries.

  • Helps organize the office, supplies, files and equipment to provide for orderly and efficient administrative functions.

  • Answers phones in a professionally polite and friendly manner, attempting to recognize and acknowledge customers and external partners. Take accurate messages when needed and notify others when visitors arrive.

  • Help associates with correct and timely automated time card submission.

  • Provide clerical support when workload requires, including typing, address labels, shredding confidential documents, etc.

  • Perform minor maintenance on company office equipment as necessary.

  • Photocopy documents and sort as required.

Minimum Requirements

  • Previous clerical and/or administrative experience required.

  • Working knowledge of general office procedures and business machines, plus ability to produce error free correspondence and spreadsheets.

  • Proficiency in the use of computers and common software programs a must.

  • Team orientations, congenial personality and helpful attitude a must.

  • Good communication skills, including listening, required.

  • Requires ability to maintain confidentiality of work items and sensitive conversations.

Preferred Qualifications High school graduate with AS in Business preferred.
